SoloOps field guide
Freelancer client operating system
Build a lightweight client pipeline from first enquiry through delivery, invoice status, and closeout.
Who it is for
Use this when the work has outgrown memory.
Independent consultants, designers, developers, writers, and small service studios managing several active clients.
Target outcome: One operating view that answers what was promised, what happens next, what is blocked, and what remains unpaid.
Build the system
Four linked operating views.
- 01
Qualify before creating a project
Capture the problem, decision maker, budget signal, deadline, and next conversation in one lead record. Keep unqualified enquiries outside the delivery board so tentative work does not compete with signed commitments.
Suggested fields
- Company and contact
- Problem to solve
- Budget and deadline signal
- Decision date
- Next action
- 02
Translate the agreement into a delivery brief
Once work is agreed, record the deliverables, owner, client dependencies, milestones, acceptance signal, and commercial status. Link to the signed agreement rather than reproducing legal terms inside a task database.
Suggested fields
- Deliverables
- Milestones
- Client inputs
- Acceptance signal
- Agreement link
- 03
Separate delivery from money tracking
Use delivery status for the work and a small invoice-status field for administration. This keeps an overdue invoice visible without marking completed client work as unfinished.
Suggested fields
- Delivery status
- Invoice number
- Sent date
- Due date
- Paid date
- 04
Close the loop deliberately
At closeout, confirm handover, archive source links, note lessons, and decide whether to request a testimonial or schedule a follow-up. Do not publish client names or quotes without permission.
Suggested fields
- Handover complete
- Archive link
- Lessons
- Permission status
- Follow-up date
Cadence
Keep it alive.
- Monday: choose one next action for every active lead and project.
- Wednesday: surface blocked client inputs before they threaten a milestone.
- Friday: reconcile invoice status and close completed work.
Quality checks
Before adding more fields.
- Every active record has an owner and dated next action.
- Client dependencies are visible separately from your own tasks.
- Commercial records point to source documents instead of replacing them.
